The weekly CSA box plan and member note template

One page per week that carries your availability list, the box plan for every variant, the substitution you made, and the note that goes to members before harvest starts.

This is the sheet a CSA farm fills out between Sunday evening and Thursday afternoon. It exists because the box plan usually lives in three places at once: a text from the field, a whiteboard in the barn, and whatever the person writing the member email remembers. When those three disagree, a member gets a box that does not match the note, and that is the small failure that turns into a canceled renewal in February.

Fill it in order. The availability walk comes first because the field decides what is possible, not the other way around. The box plan comes second, the member note third, and the Thursday close out last, on the same page, so next Sunday you start with what actually happened rather than what you meant to do. Print it, clip it to the barn wall, and let the crew write on it.

How to use it

Print one copy a week and clip it where the crew already looks, usually the wash pack wall or the cooler door. Handwriting on it is the point. The Sunday availability column filled out in the field, the Thursday counts written by whoever ran the line, and the one line change note at the bottom are worth more than a tidy digital record made after the fact.

At the end of the season, twenty two of these pages stacked together are the most useful planning document a CSA farm owns. They show which crops carried the box, which weeks ran thin, how often you substituted and for what reason, and which builds ate the most crew time. Does this work for a farm running a choice table instead of a fixed box?

Mostly. The availability walk, the substitution planning, and the Thursday close out apply to any CSA model. The box plan section is written for a fixed box with variants, so a choice table farm would use it to plan the quantities available rather than a per member contents list.

How long does it take to fill out each week?

The availability walk takes as long as walking your beds, which you are doing anyway. The box plan runs fifteen to twenty minutes once you know your crops, and the note takes about ten. The Thursday close out is under five minutes if the crew writes it as the line runs.

Can we skip straight to the software?
